POSITION SUMMARY
Holy Innocents’ Episcopal School (HIES) is seeking a Director of Facilities. The Director of Facilities reports to the Chief Financial Officer and is responsible for the direction and oversight of all school facilities services, including interior and exterior physical plant maintenance, renovations, construction, special projects and custodial services.
The Director of Facilities will be proactive in performing his/her assigned duties making use of the best available resources and technology and will be willing to take on other tasks specific to the facilities function.
The Director of Facilities understands the school environment and culture, maintains a professional demeanor and attitude at all times, and always puts the School’s mission and values at the forefront of his/her actions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Collaborate with school leadership to develop and implement strategies for efficient operation of safe and sustainable facilities and grounds in support of Holy Innocents’ mission and financial goals.
- Strive for continuous improvement and innovation in facilities and grounds management and in departmental organization by setting appropriate standards and ensuring quality control.
- Responsible for all aspects of department personnel management including motivation/team-building, performance evaluations, training/development, productivity, accountability, discipline and mentoring
- Oversee the preservation, maintenance and enhancement of the School’s facilities in a safe and efficient manner. Establish and coordinate a maintenance schedule that addresses the routine and preventative maintenance needs of buildings, grounds, furniture, fixtures & fittings, fire safety and maintenance vehicles, equipment, tools and supplies.
- Hire, schedule, and supervise all building and grounds maintenance and custodial staff. Responsible for department personnel management, including performance evaluations, compliance with time and attendance, training and development, and discipline.
- Responsible for the CMMS (computerized maintenance management system): assignment, oversight and follow-up to ensure quality control and the timely, cost effective execution of all work orders; management of the preventive maintenance programs to ensure preventive maintenance is performed and documented as required.
- Conduct regular inspection of all school facilities, grounds and equipment to ensure high standards of safety, visual appeal and cleanliness campus-wide.
- Responsible for purchasing and maintaining an inventory of equipment, parts and supplies for maintenance, grounds, custodial and transportation.
- Oversee and coordinate the work of all outside vendors and contractors, effectively managing the fulfillment of their contractual obligations, including quality control of their work. Effectively manage contracted cleaning services and oversee the regular cleaning of the school. Ensure all contractors possess adequate insurance coverage. Solicit bids and develop the scope of work for all major outside contractual work.
- Responsible for local and national code compliance programs including but not limited to ADA, building, fire, electric, plumbing, asbestos management and abatement and air quality.
- Interpret and direct the school’s safety program to ensure compliance with all applicable federal, state and local environmental and safety regulations and regulatory authorities, including but not limited to OSHA and The Environmental Protection Agency.
- Develop the school’s annual operating and long-range capital facilities budgets addressing both the short term and long term needs of the school and its mission. Monitor and control facilities expenditures to ensure they are aligned with approved budgets.
- Collaborate with program and staff leadership, to understand special needs and maintain quality of support to the mission (e.g. academic leaders, food service, athletics, technology, security). Provide facilities support for campus events (e.g. setups and takedowns).
- Participate constructively in the strategic development and management of the campus (e.g. master plan, zoning compliance, utilities services, energy management).
- Develop and maintain a consistent department image by implementing staff-wide initiatives and producing a quality customer-service-oriented maintenance service. Responsible for cost/budget control. Ensure effective customer satisfaction, service and relations.
- Represent the department by building relationships with all constituencies, including but not limited to faculty, administration, staff, parents and students.
- Responsible for on-site supervision of Facilities Operations staff working on unscheduled “school-closed” days, such as severe weather days (e.g. ice, snow, etc.).
- Maintain confidentiality.
- Perform other duties as assigned or required.
Supervisory Responsibilities
This position directly supervises all facilities department personnel and contracted services (i.e. grounds, janitorial) and is responsible for the overall direction, coordination, and evaluation of employees and vendors.

- Ability to objectively judge the quality of performance for staff and outside contractors.
- Ability and willingness to provide not only “hands on” training but also assistance to all members of the facilities staff.
- Commitment to the School’s needs as demonstrated by readiness to respond 24/7/365 as reasonable and necessary
- Ability to read and interpret construction and engineering documents, e.g. construction drawings, specification and shop drawings, and manufacturer maintenance manuals.
- Competency in OSHA jobsite safety requirements.
- Ability to work in mechanical and electrical spaces.
- Ability to exercise sound judgment in responding to situations to meet organizational needs on a daily basis.
Required Education, Skills and Experience
- Bachelor’s degree from an accredited college or university, required.
- Ten years of related technical work experience.
- Proven personnel management skills and contractor management experience, with aptitude to judge quality of performance in all major technical trades and personal experience in at least one technical trade (carpentry, mechanical, electrical, structural).
- Possess a high degree of computer literacy sufficient to prepare advanced reports in Excel and Word, and aptitude to operate BAS (building automation system).
- Strong communication skills (oral and written) and confidence in conveying information to all types of members of the community, including teachers, administrators, trustees, parents, and students.
- Ability to adapt behavior to function effectively in the unique school culture.
- Commitment to the institution’s needs, and readiness to respond 24/7/365 as reasonably necessary.
- Holds a current, valid and in-good-standing Driver’s License.
- Demonstrated self-starter who can work without direct supervision while finishing tasks in a timely manner. Able to multitask.
- Experience in utilizing Microsoft Office and Google Docs for communicating, budget tracking, project management and presentations.
Computer Skills
- Strong skills and demonstrated experience with Microsoft office suite (i.e. EXCEL, Word)
- Experience in CMMS software programs (preferably SchoolDude)
- Experience in operating Building Automation/Energy Management Systems
- Familiarity with database management, data input, and MS Project would be an advantage

- Ability to walk for long periods of time around campus
- Frequent lifting of equipment and materials weighing 50 pounds or more.

- Work outside in hot or cold conditions for extended periods of time.
- Work in wide variety of environments as found in all areas of the school.
